This policy applies to pace.fit, the Athlete Performance Portal, and every testing, monitoring, reporting and programming service delivered by Pace Sports Performance Inc.
Who we are
Pace Sports Performance Inc. (“Pace”, “we”, “us”) is a sports performance company based in Kelowna, British Columbia, Canada. We are the organisation responsible for the personal information described here — the data controller, in GDPR terms.
For any privacy question, access request or deletion request, contact support@pace.fit. We aim to respond within 30 days.
What we collect
We collect only what the work requires. Information reaches us in the following ways.
Account and sign-up information
- Name and email address
- Date of birth
- Sport, division, team or club, competitive level and playing position
Onboarding information
- Primary training goal and supporting detail
- Availability — days per week and preferred training times
- Current injuries or physical limitations you choose to disclose
- Your consent choices, including whether anonymised data may be used in case studies
Performance information
- Field testing results — for example 20m sprint, arrowhead agility left and right, asymmetry, broad jump and Yo-Yo IR1
- Session records, attendance and hours logged against your name
- GPS and training-load metrics where a club has commissioned that monitoring
- Reports, notes and recommendations produced from the above
Enquiries and communications
- Contact and testing enquiry details: name, email, role, organisation, service of interest, squad size, testing duration and your message
- Newsroom subscription status, plus email delivery, bounce and unsubscribe records
Technical information
- Authentication tokens and session records used to keep you signed in
- Sign-in events and administrative audit records — who changed what, and when — kept for security and accountability
We do not collect payment card numbers. Card details are entered directly with our payment processor and never reach our systems.
Why we use it, and on what legal basis
- To deliver the service you or your club engaged us for — testing, monitoring, reporting and programming. Basis: performance of a contract.
- To operate your Athlete Performance Portal account and send service emails such as sign-in links. Basis: contract.
- To send newsroom updates and marketing. Basis: your consent, withdrawable at any time via the unsubscribe link in every email.
- To use anonymised results in case studies where you ticked that optional box during onboarding. Basis: your consent.
- To keep the platform secure and accountable through audit logging and access controls. Basis: our legitimate interest in a secure service.
- To meet accounting, tax and legal obligations. Basis: legal obligation.
We do not use your information for automated decision-making that produces legal or similarly significant effects.
Youth athletes
A significant part of our work is with athletes under the age of majority. Before any athlete under 19 is enrolled, assessed or given a portal account, a parent or legal guardian must consent to the collection and use of that athlete’s information as described in this policy.
- Where a club, school or team enrols athletes, that organisation confirms to us that it holds current parent or guardian consent for every athlete it enrols, and that it is authorised to share those athletes' details with us.
- A parent or guardian may request access to, correction of, or deletion of their child's record at any time by emailing support@pace.fit.
- We do not send marketing email to athletes we know to be under the age of majority, and we do not use a minor's data in case studies unless a guardian has expressly consented.
If you believe we hold information about a minor without proper consent, contact us and we will delete it promptly.
Who we share it with
We do not sell personal information, and we do not trade or rent it for advertising. We share it only with the following categories of recipient, and only as far as needed.
- Cloud hosting and database providers who store the platform and its data on our behalf.
- Email delivery providers who send sign-in links, service notices and newsroom emails.
- Our payment processor, Stripe, which handles card payments and holds the card data directly. We receive only confirmation of payment and limited billing details.
- The club, coach or organisation that commissioned the work — where a team engages us, coaching staff at that team can see the results of athletes in their squad. Individual athletes who engage us directly are not visible to any club.
- Professional advisers and authorities where we are legally required to disclose, or where disclosure is necessary to protect someone’s safety.
If Pace is ever involved in a merger, acquisition or sale of assets, personal information may transfer as part of that transaction, and we will notify affected individuals.
Where your data is stored
Our platform, database and email infrastructure are operated by service providers whose facilities may be located in Canada, the United States or the European Union. This means your information may be stored or processed outside British Columbia and outside your own country, and may be accessible to courts and law enforcement in those jurisdictions under their local laws.
Where personal information from the European Economic Area or the United Kingdom is transferred outside those areas, we rely on recognised safeguards, including standard contractual clauses with our providers.
How long we keep it
- Account, onboarding and performance data: for as long as your engagement with Pace is active, and for 24 months afterwards so that historical comparisons remain possible if you return.
- Enquiry and contact form messages: 24 months from the last contact.
- Newsroom subscription and suppression records: until you unsubscribe, with a minimal suppression record retained afterwards so we don't email you again by mistake.
- Billing and tax records: as long as Canadian tax law requires, currently six years.
- Security and audit logs: 24 months.
You can ask us to delete your data sooner, and we will do so unless we are legally required to keep it.
Your rights in Canada
Under British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you may:
- Ask what personal information we hold about you and how it has been used or disclosed
- Request a copy of that information
- Ask us to correct anything inaccurate or incomplete
- Withdraw consent for marketing or optional uses at any time
Email support@pace.fit to exercise any of these. If you are not satisfied with our response, you may complain to the Office of the Information and Privacy Commissioner for British Columbia, or to the Office of the Privacy Commissioner of Canada.
Additional rights in the EEA and the UK
If you are in the European Economic Area or the United Kingdom, you also have the right to erasure, to data portability in a machine-readable format, to restrict processing, and to object to processing based on our legitimate interests. Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out beforehand.
You may lodge a complaint with your local supervisory authority, or with the Information Commissioner’s Office in the UK.
Cookies and similar technologies
We keep this deliberately minimal. The site uses browser storage and cookies strictly to keep you signed in to your portal and to maintain your session while you move between pages. These are essential to the service and cannot be switched off without breaking sign-in.
We do not run advertising cookies, cross-site tracking pixels or third-party ad networks on this site.
How we protect it
We apply safeguards appropriate to the sensitivity of the information, including encrypted connections, role-based access so staff and coaches only see the athletes they work with, database-level row security so an athlete’s record is readable only by that athlete and authorised staff, passwordless sign-in links, and audit logging of administrative actions.
No system can be guaranteed completely secure. If a breach affects your information and creates a real risk of significant harm, we will notify you and the relevant regulator as required by law.
Changes and contact
We may update this policy as our services change. The effective date at the top always reflects the current version, and material changes will be announced by email or on the site.
